Quick Reference Guide | Mobile (C5)

     

    General Information:

    Discover the primary function for the main buttons you will use in the Mobile App.  Dive deeper into each section by clicking on the names below.

     

    Common Icons

    Description

    Back Arrow

    Back arrow – Tap on this icon when you need to go back to the previous screen.

    Bar Code Scanner

    Bar Code Scanner –  Tap this icon to open the camera on your device to scan a bar code. 

    Lock Screen

    Lock screen – Tap on this icon when you want to lock your screen. When you are ready to use the terminal again, tap the screen and login. 

    Sync Now

    Sync Now  – Tap this button to sync the card reader device with the Ovation App

    Orders or Sales

    Orders or Sales – Add items from your library or manually add a line item to the cart, checkout/process payment, and deliver receipts via text, email, or print.

    • For Restaurants, this displays as Order, for Retail this displays as Sale. 

    Quick Sale

    Quick Sale – Check out even faster by selecting the payment type (Cash, Credit Card, Gift Card, or Invoice) and then entering the full dollar amount to be paid.

    History

    History – Review all transaction history including successful payments, canceled transactions, refunds, and more.

    Open Refund

    Open Refund - Use the open refund transaction to reimburse the customer for a returned item when the original transaction is not in the transaction history. The Open Refund feature is optional.

    Items

    Items – Add Items to categories, subcategories, and groups to organize your library for an easy checkout process.

    • For Restaurants this is the menu, for Retail this is the product catalog.

    Batch

    Batch – Close out the transactions and sales activity for a particular 

    shift or period of time.

    Invoices

    Invoices – Search for a specific invoice by last name, phone number, or invoice number. Or view multiple invoices by status - due, overdue, completed, or all.  

    Training

    Training - Explore the platform with confidence. Practice taking orders, adding discounts, refunding payments, and closing the register without processing any actual transactions. 

     

    Transactions:

    Order or Sale - Credit Card, Cash, and Gift Card 

     

    1. From the home screen, tap Sale or Order  -The Order button displays for a restaurant business. The Sale button displays for a retail business.

    2.Select items from the list to add to the cart or enter the amount for an item

    3. If a discount is needed, select the % icon in the top right

    4.Tap the CART icon to view all transaction details, review, then tap CHECKOUT

    5. Select the Order type (Dine in, Carry out, To go, etc)  then CONFIRM CHECKOUT

    6 Confirm Checkout

     

    6. Using the left and right arrows select the appropriate form of payment -Credit Card, Cash, Gift card. The Order/Sale total will appear on the screen.

    7 Payment Method

     

    7. Follow the prompts at the bottom of the screen that matches your payment situation to finalize payment

    This will look slightly different depending on what form of payment is selected:

     

    - For Credit Cards- Either tap CARD to use the card reader or MANUAL ENTRY to type in the card information.

    Ask the customer to use their card, and if prompted, to enter their PIN, and then tap ENTER

    - For Cash - Either tap OTHER AMOUNT to see the change due or EXACT and then FINISH

    - For Gift Card -  Either tap SCAN to open the device's camera to scan the code or MANUAL ENTRY to type in the gift card number and then tap FINISH

    8. When the transaction is approved a receipt method prompt displays

    9. Tap the receipt method. For no receipt, tap Complete Order, or Complete Sale

     

    Quick Sale - Card Card, Cash, Gift Card 

     

    1.  From the home screen, tap Quick Sale

    2. Using the left and right arrows select the appropriate form of payment -Credit Card, Cash, Gift card, or Invoice

    3. Type in the full dollar amount to be charged 

    4. Follow the prompts at the bottom of the screen that matches your payment situation to finalize payment

      This will look slightly different depending on what form of payment is selected:

    5. Receipt options will appear - Select the preferred form of receipt and then COMPLETE ORDER

    Quick Sale - Invoice 

     

    1. From the home screen, tap Quick Sale

    2. Using the left and right arrows select the appropriate form of payment - Invoice

    3. Type in the full dollar amount to be charged then tap CONTINUE

    4. Select either Existing Customer or New Customer

      If Existing Customer- search by First name, Last name, phone number, or email then tap on the customer profile

       If New Customer - Enter First name, Last name, Business name, phone number, and email address then tap CONTINUE

    5. Select a due date and tap CONTINUE

    6. An option to edit the message to the customer will appear. If you would like to change it do so on this page, if you prefer the default “Thank You For Your Business!” then tap CONTINUE

    7. The Invoice information will all appear on one screen for you to review, if everything is correct tap on the checkmarks to select how you would like to send the invoice - either Via Text, Via Email, or both

    8. Then tap SEND and the customer will receive a link for the invoice

    Reprint Receipts from History

     

    1. From the home screen, tap History. A list of transactions will be displayed

    2. Tap the transaction that you want to reprint. The transaction information will be displayed

    Refund from History

     

    1. From the home screen, tap History. A list of transactions will be displayed

    2. Tap the transaction that you would like to refund. The transaction information will be displayed

    3. Select the refund type:

       

      1. To refund the full amount, tap ENTIRE SALE or ENTIRE ORDER then REFUND

      2. To refund part of the transaction, tap SELECT ITEMS, select the items, tap CALCULATE REFUND, and then tap REFUND

      3. To refund the customer without linking it to a transaction, tap ENTER AMOUNT Enter the refund amount and then tap REFUND

    4. If debit card transaction, tap Yes and then follow the instructions to refund cash to the customer

    5. If credit card transaction, tap REFUND

    6. The Swipe Card, Insert Card,and  Tap Card prompt will display

    7. Ask the customer to use their card, and if prompted, to enter their PIN, and then tap ENTER
      When the transaction is approved a receipt method prompt displays

    Open Refund

     

    1. From the home screen, tap Open Refund

    2. Using the left and right arrows select the tender type

    3. Select items from the list to add to the cart or enter the amount, and then tap REFUND CARD, and then REFUND

    4. The Swipe Card, Insert Card, and Tap Card prompt will display

    5. Ask the customer to use their card, and if prompted, to enter their PIN, and then tap ENTER

    6. The transaction processes and if it is approved a receipt method prompt displays 

    7. Tap the receipt method. For no receipt, tap Complete Refund

     

    Note: Not all users have permission to perform open refunds by amount. If you do not have permission ask a manager to enter his or her pin to continue 

     

    Support Functions:

     

    Items - Add to Inventory 

     

    1. From the home screen, tap ITEMS

    2. To view, add, and edit Items tap MANAGE ITEMS

    3. To view, add, and edit, categories, subcategories, and groups tap ITEM LIBRARY


      3 Create Item

    4. Tap CREATE ITEM, enter the Item Name and an optional Item Description and then tap CONTINUE

    5. Enter the Unit Price or select Open Amount - Enter Price at time of use, and then tap CONTINUE

      Enter the optional items if used, and then tap CONTINUE

    6. Item Code (Barcode number)

    7. Review the Item Summary, and then tap CONTINUE

    8. Choose the position in the item library by selecting the category, subcategories, and groups. Tap PLACE ITEM HERE

    9. Review the Item Library Summary, and then tap CONTINUE

    10. Choose the screen location by selecting the ITEM SCREEN, and then tap CONTINUE

    11. Select the taxes, modifiers, and printers to be associated with the item 

    12. Review the Summary, and then tap SAVE

    13. The item summary will display one more time, if anything is incorrect tap the pencil icon in the top right to EDIT. If all of the information displayed is correct tap DONE

     

    Tip Adjustment  

     

    If the tip adjust feature is enabled, an ADJUST TIPS tab displays in the Batch module.

    1. From the home screen, tap Batch

    2. Tap the ADJUST TIPS tab. A list of transactions display

    3. Tap the transaction to add the tip. The transaction information displays

    4. Enter the tip amount, and then tap ADD TIP






    BATCH INFORMATION :  

    End of Day   

     

    1. On the application home screen, tap Batch


      12 Batch

       

    2. On the end-of-day tab, tap CLOSE REGISTER


      13 Close Register

       

      The confirm action prompt displays. Tap YES.   The report will be emailed to the designated user

       

    3. The next SALE or ORDER automatically begins a new batch.
